This policy explains what information we collect when you use this website, why we collect it, how long we keep it, and what you can ask us to do with it. We have written it in plain language on purpose. If anything here is unclear, please write to us at contact@cosmichospital.in and we will explain it to you.

1. Who is responsible for your information

Cosmic Women’s Hospital & IVF Center is the Data Fiduciary for the personal data collected through this website, as that term is used in the Digital Personal Data Protection Act, 2023 (“DPDP Act”). You are the Data Principal — the person the data is about.

2. What this policy covers, and what it does not

This policy covers information collected through this website — enquiry and appointment forms, and the technical information your browser sends when you visit a page.

It does not cover your medical records. Clinical information collected during consultation, investigation, admission or treatment is handled separately under hospital policy and under the laws that govern medical practice in India. Section 12 below sets out how those records are treated.

3. Information we collect from this website

Information you give us. When you fill in the appointment or enquiry form, we collect:

  • your name
  • your mobile number
  • your preferred time for a call back
  • your email address and any message you choose to type, if you provide them

Please do not enter medical details, reports, scan images or test results into the website form. The form is only for arranging a call or an appointment. Bring your reports to your consultation, or hand them over at the hospital reception.

Information collected automatically. Like most websites, ours records technical information such as your IP address, browser and device type, the pages you visited, and the site that referred you. This is used in aggregate to understand which pages are useful and to keep the site secure. It is not used to identify you by name.

4. Why we use your information

  • To call you back and fix an appointment at a time that suits you
  • To answer the question you asked
  • To keep a basic record of enquiries so that a follow-up call is not missed
  • To keep the website working, secure and free of spam submissions
  • To understand, in aggregate, how people find and use the site

We do not sell your information, rent it, or share it with any third party for their own marketing.

5. Consent

When you submit a form on this website, you are giving us your consent to contact you about that enquiry. You can withdraw that consent at any time by telling the person who calls you, or by writing to contact@cosmichospital.in. Withdrawing consent will not affect anything we have already lawfully done with the information, and it will not affect your treatment or your right to be seen at the hospital.

6. Cookies and tracking

This website uses cookies and similar technologies for two purposes:

  • Necessary cookies that make the site work — for example, remembering that a form has been
    submitted, or keeping the site secure.
  • Measurement — anonymous statistics about page visits, so that we know which information
    patients are looking for.

You can block or delete cookies through your browser settings. The site will still work, though some conveniences may be lost.

These providers process information on our instructions or under their own published terms. We do not give them your clinical information.

8. WhatsApp and phone communication

If you contact us on WhatsApp or by phone, we will reply on the same number. Please note that ordinary WhatsApp and SMS are convenient but are not a secure channel for sensitive medical information. For anything confidential — reports, results, or treatment decisions — we will ask you to come in, or to speak on a call, rather than put it in writing on a messaging app.

9. How long we keep website information

  • Form enquiries: kept for up to 24 months from your last contact with us, then deleted. If the
    enquiry leads to your becoming a patient, the clinical record takes over and Section 12 applies.
  • Server and security logs: typically retained for a few months in the ordinary course of hosting.
  • Aggregated statistics: retained indefinitely, because they contain no personal data.

10. Your rights under the DPDP Act, 2023

You may ask us to:

  • Tell you what we hold about you and who we have shared it with
  • Correct or complete anything that is wrong or out of date
  • Erase information we no longer need — subject to the record-keeping we are legally
    required to maintain under Section 12
  • Nominate another person to exercise these rights on your behalf if you are unable to
  • Raise a grievance with us, using the contact in Section 16

Write to contact@cosmichospital.in with your request. We will respond within a reasonable period, and normally within 30 days. We may ask you to confirm your identity first, so that we do not disclose one person’s information to another.

If you are not satisfied with how we handle your grievance, the DPDP Act allows you to approach the Data Protection Board of India.

11. Children

This website is not directed at children. We do not knowingly collect personal data from anyone under 18 through this website, and we do not use children’s data for tracking or targeted advertising. Where a child is our patient, information is provided by and discussed with the parent or lawful guardian.

12. Medical records and clinical confidentiality

Your medical record is confidential. Access is limited to the treating doctors and the hospital staff who need it to look after you.

  • Assisted reproduction: records relating to ART treatment are maintained for the period required
    under the Assisted Reproductive Technology (Regulation) Act, 2021, and the identity of donors, commissioning
    couples and patients is not disclosed to anyone except as that Act, or an order of a court, requires. Our clinic
    is registered under that Act — Certificate No. GS/AHD/165.
  • Ultrasound: records under the Pre-Conception and Pre-Natal Diagnostic Techniques
    (Prohibition of Sex Selection) Act, 1994 are maintained and made available to the Appropriate Authority as that
    Act requires. Sex determination and sex selection are not performed at this centre under any
    circumstances.
  • General records: in-patient and other clinical records are maintained for the period required
    under the applicable regulations governing medical practice in India, and longer where a matter is under
    inquiry or litigation.
  • Records are released to you, or to a person you authorise in writing, on a written request. They are released to
    anyone else only where the law compels it — for example a court order, a statutory authority, or a
    notifiable disease requirement.

13. Photographs, videos and testimonials

We do not publish a patient’s photograph, video, scan image or account of their treatment on this website or on social media without that patient’s specific, separate written consent, given freely and revocable at any time. Consent to treatment is never treated as consent to publish. In keeping with the National Medical Commission’s ethics regulations, we do not publish patient testimonials or success-rate claims as advertising.

14. Security

We take reasonable technical and organisational measures to protect information — encrypted connections (HTTPS) on the website, access control on hospital systems, and restricting record access to staff who need it. No system is perfectly secure, but if a breach affecting your personal data occurs, we will act on it and notify you and the authorities as the law requires.

15. Changes to this policy

We may update this policy as our services or the law change. The revision date at the top of the page will always tell you when it was last changed. Material changes will be highlighted on this page.
